Facilities Use & Fee Policy Print this Document Adopted March 2022 Greenfield Community College's policies encourage the use of College facilities for educational and civic engagement. Political discourse and events related to national state, and local elections enhance GCC's educational and community services mission.At the same time, it is important to stress that as a public college, all GCC campus facilities are property of the Commonwealth of Massachusetts, resulting in certain requirements. The Facilities Use and Fee policies exist to ensure that activities can occur successfully alongside ongoing campus operations. By state law, facility use must be without cost to the Commonwealth and the College must recover costs incurred for all expenses beyond those ordinarily required for operation of the campus. All organizations or individuals requesting space must pay an administrative Facility Fee and complete an Event Meeting Space Agreement. If the organization is not an agency of the Commonwealth of Massachusetts the organization must submit a policy of insurance naming the College as joint beneficiary of the policy. This certificate of insurance, in the amount of not less than nine hundred thousand ($900,000.00) dollars for bodily injury and five hundred thousand ($500,000.00) dollars for property damage must be filed with the college ten (10) days prior to the conference/event/meeting. As space allows, other state agencies as well as congressional leadership offices can schedule space on campus and are exempt from the Facility Fee charges above. All other charges below still apply. Events that are co-sponsored with Greenfield Community College can request a Facility Fee reduction waiver. Additional Labor Charges Events during regular business hours incur a one-hour minimum charge; nights, weekends and holidays incur a four-hour minimum. Security: $75 per hour, per person Custodial: $50 per hour, per person Media/Tech Support: $75 per hour, per person Policy Guidelines All event catering must go through the colleg'’s food service provider who has first right of refusal for all catering on campus. A deposit equal to the dining hall rental fees are due to the college within ten (10) days of receipt of college confirmation. All Deposits are NONREFUNDABLE. All groups, members and conferees shall comply with the laws of the Commonwealth of Massachusetts and regulations of Greenfield Community College pertaining to alcoholic beverages. The user agrees to adhere to Greenfield Community Colleges smoking policy and understands all smoking must take place in the parking lots or the smoking gazebos. In the case that an event takes place while classes are in session or during normal working hours the user agrees to keep the noise down to a level which will not disrupt students, classes, faculty or staff. Activities must be scheduled in a manner that avoids interference with classes, events related to college activities, and the needs of students, faculty and staff. Participants must comply with campus safety and security policies. If the scheduled event is canceled, notice of the cancellation must be forwarded to the Director of Purchasing and Business Services immediately. If you cancel your event fewer than five (5) business days before your event, you will be charged for catering and any other expenses related to your event. In the event that the College closes due to a weather event, the cancellation will appear on your local television station as well as the Greenfield Community College website. All deposits will be applied to your event once it has been rescheduled.
