If you believe you qualify for an exception to the College’s refund policy due to extenuating circumstances, you may submit a refund appeal.

Exceptions are considered on a case-by-case basis, and decisions are not guaranteed.

Who Can Appeal

You can file a refund appeal if you:

  • Withdrew officially from all classes
  • Had circumstances beyond your control that prevented attendance
  • Are submitting your appeal within the required timeframe

Appeals are only reviewed after your official withdrawal is complete. If you stopped attending classes but did not complete the official process, you must first submit a Request for Withdrawal from All Classes form to the Registrar’s Office.

What to Include in Your Appeal

Your appeal should:

  • Clearly explain your situation
  • Demonstrate the extenuating circumstances that prevented attendance
  • Include supporting documentation that strengthens your request
  • List your full name, student ID, semester for which you are appealing and contact information

If additional documentation is requested, your appeal will not be processed until that information is received.

How to Submit an Appeal

Email (Preferred Method):

  • Submit your request for appeal from your GCC student email account to appeals@gcc.mass.edu
  • In the subject line, include “Appeal” and the semester and year for which you are appealing
  • If you are including supporting documents, you may attach them as scans or files
  • Do not send sensitive personally identifiable information by email

Mail (Alternative):

Greenfield Community College
Student Financial Services Office
ATTN: Student Appeals
One College Drive
Greenfield, MA 01301

You may also submit supporting materials by mail or fax.

Medical Appeals

If your appeal is based on medical reasons, follow this two-step process:

  1. Request a medical withdrawal and receive official approval through the Registrar’s Office or Dean of Students. Do not include medical records with your financial appeal.
  2. After the medical withdrawal is approved, submit your separate refund appeal with a copy of the medical withdrawal approval notice. Do not include medical records with the appeal itself.

A medical withdrawal may support your request, but it does not guarantee a refund or reduction in charges.

Please note!

  • Appeals must be filed within 60 calendar days of the event that caused you to withdraw or stop attending classes. Appeals received after this timeline will not be considered.
  • Appeals are reviewed in the order they are received. You should receive a response within about 30 days of submitting your appeal.
  • If additional documentation is needed during the review, your response time may be extended.
